Information we collect
We collect information that contestants, parents, guardians, and authorized representatives provide through registration and contestant paperwork. This may include:
- Names, email addresses, mailing addresses, phone numbers, dates of birth, ages, and age divisions.
- Parent, guardian, chaperone, spouse, sibling, and family information supplied for competition administration and emcee materials.
- Competition selections, optional events, advertising purchases, sponsor information, lodging details, and fee calculations.
- Electronic signatures, acknowledgments, submission dates, invoice details, and payment-credit information.
Before submission, a draft may be saved in the web browser on the device being used. Once submitted, the information is transmitted to our secured administrative systems.
How we use information
We use submitted information to:
- Administer the Texas Our Little Miss competition and prepare contestant and emcee materials.
- Calculate entry fees, optional-event charges, advertising charges, deposits, and credits.
- Create and send invoices through QuickBooks Online and send submission-related email.
- Maintain administrative, accounting, competition, and compliance records.
- Respond to questions, correct records, protect the service, and prevent misuse.
We do not sell contestant information or Google user data.
Google Drive access and Google user data
An authorized Texas Our Little Miss administrator may connect a Google Drive account so the application can create and keep one private Excel workbook current. The application requests the limited Google Drive file permission (drive.file), which permits it to create and update files used with this application. It does not browse, read, modify, or delete other files in the connected Google Drive account.
The Google authorization credential and the identifier of the application-created workbook are stored in protected server-side storage. Google user data is used only to maintain that workbook; it is not used for advertising, profiling, or training models, and is not sold or shared except with service providers needed to operate this feature or as required by law.
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. The administrator can revoke access at any time from the connected Google Account's security settings.
Service providers and disclosures
We use service providers to host the website, store submissions, maintain the private workbook, deliver email, and create invoices. These services may include Netlify, Google Drive and Gmail, and Intuit QuickBooks Online. We disclose information to these providers only as needed to perform those functions. We may also disclose information when required by law, to protect participants or the service, or with the appropriate person's consent.
Children and parental submissions
Contestant records may concern children. The form is intended to be completed by a parent, guardian, adult contestant, or other authorized representative. We do not knowingly invite children to submit this administrative paperwork independently of an authorized adult.
Security and retention
We use access controls, encrypted network connections, private server-side storage, and other reasonable safeguards appropriate to the information. No method of electronic storage or transmission is completely secure. We retain records for as long as reasonably necessary to administer the competition, maintain accounting and legal records, resolve disputes, and meet applicable obligations.
Your choices
To request access to, correction of, or deletion of submitted information, contact us at the address below. We may need to verify the request and may retain information when required for accounting, legal, safety, or legitimate competition-administration purposes.
Policy updates
We may update this policy as our services or legal obligations change. The current version will be posted on this page with its effective date.
